Job Title : Receptionist, Administrative Assistant and food services resource person

Immediate superior : Executive Director

1-      Job Summary

She/he assume the role of receptionist, administrative assistant of the Executive Director and resource person for the Partage/Share and Nutri-santé committees.

She/he collaborates with the Executive Director in the following fields of activity: support for volunteers, support for organizations, development of voluntary or community development, direct services for individuals.

She/he accomplishes any other task upon request from the Executive Director.

2-      Responsibilities

       2.1 Specific tasks

  • Receptionist:
  • Greet, filter, respond, direct and record communications made to CABMN in person, electronically or otherwise with efficiency;
  • Seek, screen, train, and support a team of occasional volunteer receptionists;
  • Be informed or know how to find information of internal CABMN services and programs of use and in relation to our users, volunteers, and members.
  • Be informed of or know how to find information on other community or government services or programs of use and in relation to our users, volunteers, and members.
  • When appropriate evaluate client needs in order to directly address their needs or re-direct the client to the appropriate CABMN person or other resources;
  • Create or maintain up-to-date documents, information, forms, lists, etc. necessary for the good functioning of the reception;
  • Typing, forwarding and filing of communications, reports, forms;
  • Ensure that the material and physical needs of the office are met (office and kitchen materials and supplies, equipment maintenance);
  • Update and maintain the CABMN master data file (electronic data pertaining to our members, volunteers, users and donors) in collaboration with fellow employees
  • Administrative Assistant to the Executive Director:
  • Organize meetings according to directives (scheduling, convocation, set-up, etc.);
  • Type meeting minutes;
  • Organize and maintain a filing system;
  • Provide or produce documents or reports as required;
  • Produce an annual report for areas under your responsibility;
  • Assemble the CABMN Annual Activity Report based on information received;
  • Assist the Executive Director in producing grants or other documents based on information received;
  • Make photocopies, send faxes, scans and emails;
  • Open, record and distribute correspondence received in the name of the CABMN with the exception of Youth Centre matters;
  • Make web postings;

  • Assist the Executive Director with various administrative tasks including accounting (prepare cheques, bank deposits, filing).
  • Resource person for the Partage/Share & Nutri-santé committees:
  • Attend committee meetings and play a role as liaison between the organization and the committee;
  • Assume the role of secretary-treasurer of the committee;
  • Ensure the committee maintains data needed to produce timely and annual activity and financial reports;
  • Support the committee board representatives in their role as liaison with the Executive Director and the Board.

       2.2 General tasks

  • Ensure a high quality of reception while being discreet and respectful;
  • Maintain confidentiality at all times;
  • Participate at staff meetings;
  • Participate in CABMN activities (annual general meeting, annual consultation, fundraising and social);
  • Participate in training activities for employees or volunteers as required;
  • Maintain an orderly work station;
  • Complete and submit information (absence, expenses, overtime, etc.);
  • Attend internal, local or regional meetings as deemed appropriate by the Executive Director;
  • Participate in the production of articles and news items for the CABMN newsletter and other media;
  • Advise the Executive Director of any unusual or potential work related problem.

3-The ideal candidate will:

Skills:

  • DEC in the required or related field or have 3 years of relevant experience;
  • Knowledge of the health and social service network;
  • Proficient French and English;
  • Good practical knowledge of Windows, Internet, Microsoft Office suite 2010 and Simply Accounting

4. Job Conditions:

  • 35 hours per week (Monday to Friday)
  • $14.00/hour
